Sync Results Dashboard

This dashboard displays the outcomes of daily sync jobs, which run Monday to Friday at 6am, 10am, and 2pm.

Table Overview

The table below provides detailed information about each sync job, showcasing data from Jotform submissions and the corresponding vendors in Financial Edge.

Job Run DateThe date the sync job ran, indicating when Jotform submissions were transferred to Financial Edge.
Jotform Submission IDThe unique identifier for the Jotform submission.
Jotform Submission DateThe date when the form was submitted in Jotform.
Access CodeThe access code entered in the Jotform submission. Click to navigate to the associated Zendesk ticket.
Vendor NameThe name of the vendor created or updated in Financial Edge.
Vendor IDThe unique identifier for the vendor in Financial Edge NXT. Click to view the vendor in FE NXT.
ActionSpecifies whether a vendor was created, updated, or if no action was taken in Financial Edge.
VerifiedCheck this box once the Jotform submission is confirmed in Financial Edge, and all vendor changes are made.
DetailsClick to access more information about the vendor, including any errors and notes.

How to Use

  1. Reviewing Sync Results
    • Use the tabs to filter the sync results by status: Unverified, Verified, or All.
    • Click the column headers to sort the table by the selected field.
    • Use the search bar to find a specific vendor by name or ID.
    • Examine the table to see the sync results for each job run.
    • Use the various fields to identify specific details about the Jotform submissions and corresponding vendors.
  2. Accessing Zendesk Tickets:
    • Click on the "Access Code" to quickly navigate to the associated Zendesk ticket for additional context.
  3. Navigating to Financial Edge:
    • Click on the "Vendor ID" to view the vendor in Financial Edge NXT.
  4. Exploring Sync Run Result Details
    • Click on the "Details" button to gain deeper insights into the vendor, including any errors and notes.
  5. Verification Process:
    • Check the "Verified" box once you've confirmed that the Jotform submission is in Financial Edge, and all necessary changes to the vendor have been applied.

Invoices Dashboard

The Invoices page lets you search, view, and bulk-update invoices in Financial Edge. After you apply filters, invoice details load in batches. Use Cancel Loading to stop a long load while keeping invoices already retrieved.

Filtering Invoices

Set your filters and click Apply to load invoices:

  • Invoice Date Range — Filter by invoice billing date (required)
  • Date Added to Blackbaud — Filter by the date the invoice was entered in Blackbaud (optional)
  • Search Term — Search across invoice fields
  • Status — Filter by approval status (Pending, Approved, Paid, etc.)
  • Vendor — Filter by vendor name
  • Payment — Filter by payment method: Both (default), EFT, or Check
  • Post Status — Filter by posting status
  • On Hold — When checked, shows only invoices on hold from the loaded results

The On Hold checkbox filters results after they load; it does not replace the invoice date range. After cancelling a load, changing On Hold and clicking Apply will re-run the query.

Customizing the Table

Use the toolbar above the invoice grid to:

  • Column Chooser — Show, hide, or reorder columns. Your choices are saved in your browser.
  • Excel Export — Export the current grid view
  • Search — Search within the loaded table

Some columns (Added Date, Modified Date, Added By, Modified By, PO #, GST Tax Type) are hidden by default but can be shown via Column Chooser.

Bulk Actions

Select one or more invoices using the checkboxes, then choose an action from the Bulk Actions menu:

  • Hold — Place selected invoices on hold
  • Release — Release selected invoices from hold
  • Change Post Date — Update the post date for selected invoices
  • Change Post Status — Update the post status for selected invoices
  • Save Modified Fields — Save inline edits made in the grid

After a bulk action completes, an Update Results dialog shows how many invoices were updated, had no changes, or failed. Click OK to close the dialog and refresh the table.
